How the customs process works in Adaption WMS
From arrival to export
The entire process, from manifest registration upon arrival to export or distribution, is handled within the same platform as your regular warehouse management. Below you can see how the two main scenarios work in practice.
Inbound and manifest registration
When a shipment arrives, the system automatically registers the manifest. This includes the HS code, country of origin, quantity, and customs status. This data is directly linked to the inventory record in your warehouse software. Separate entry in a second tool is not required.
- The HS code is linked to the item upon receipt and included in all subsequent documentation, including the Import Declaration and any tariff calculations.
- The customs status is immediately visible to warehouse employees via the scan app, preventing incorrect picking or mixing of cleared and uncleared goods.
- Manifest data forms the basis for further processing: direct clearance or temporary storage in the customs warehouse, depending on the chosen logistics route.
Practical example: An importer receives a container with consumer electronics from Asia in the port of Rotterdam. Upon arrival, Adaption WMS automatically registers the manifest: 240 units of laptops, HS code 8471 30 00, country of origin China, customs status “under supervision.” Employees immediately see in the scan app that these goods are not yet freely available until clearance is completed.
Bonded storage, T1 transport, and export handling
When goods are not cleared immediately, the system supports storage in a customs warehouse. The bond is recorded via a Customs Bond, and the inventory status remains correctly maintained throughout the storage period in your warehouse software. At the moment of sale or export, the system automatically calculates the payable import duties based on the HS code and generates the required documents.
For shipments leaving the EU, an Export Declaration is created based on existing inventory data. Transport of uncleared goods within the EU is supported with a T1 document, which is directly available from the system for the carrier. This covers the entire process, from bonded storage to export, within one integrated WMS platform.
Practical example: Of the 240 laptops, 80 are sold to a retailer in Germany. The system calculates the payable import duties based on the HS code, generates the Import Declaration, and automatically changes the customs status to “free circulation.” The remaining 160 units are exported to the US: Adaption WMS creates the Export Declaration and processes the bond. The entire transaction, including documentation, is automatically recorded in the audit trail.
