An additional order, a changed delivery address or an unexpected difference in volume may seem like a minor adjustment. In practice, such a change can affect loading capacity, stop sequence, the driver, loading time and other shipments within the same trip.
When planners work with Excel, email and separate planning systems, different versions of the transport plan quickly emerge. This creates uncertainty, additional communication and a greater risk of incorrect loading, missed deliveries and unnecessary corrective work.

With Adaption TMS, you process last-minute changes directly within the existing transport plan. The planner adjusts the relevant order, trip or stop, while the relationship with capacity, load factor and other transport orders remains intact. During replanning, the TMS shows the consequences of a change. This allows the planner to assess whether an additional order still fits, whether a stop should be moved or whether a shipment is better assigned to another trip.
The updated plan remains available to the departments involved. Drivers can receive changed instructions and trip information via the Driver App, so they do not have to rely on separate phone calls.

How does Adaption process last-minute changes?
1. The change is registered
A customer or user may, for example, change the volume, delivery address or requested delivery time. The updated information is recorded against the relevant transport order. This ensures that it remains clear which information belongs to the current assignment.
2. The planner assesses the impact
In the Planboard and Trip planboard, the planner can see which trip contains the order and how much capacity has already been allocated. The planner can assess what the change means for:
- Weight and volume
- Available loading space
- Stop sequence
- Delivery times
- Other orders within the trip
- Vehicle or carrier
3. The existing trip is adjusted
The planner can add an order to a trip, remove it from a trip or return it to the planning pool. The sequence and composition of the trip can also be adjusted. This means there is no need to create an entirely new transport plan every time something changes.
4. Capacity and feasibility remain visible
While making adjustments, the planner can continue to see how much capacity is available and how the change affects the other stops. This makes it possible to verify whether the modified trip is still operationally feasible before the adjustment is confirmed.
5. The change is shared with operations
The latest trip information remains available to the employees involved. Via the Driver App, the driver can receive a notification about a changed address, an additional stop or supplementary instructions. This ensures that trip execution immediately reflects the latest transport plan.
Which last-minute changes can you process?
Dynamic transport planning may be required for many different types of changes.
Changed volumes and quantities
An order may contain more or fewer pallets, packages, weight or volume than originally planned. The planner checks whether the shipment still fits within the available capacity.
An additional or cancelled order
A customer submits an additional shipment shortly before departure or cancels an existing assignment. The order can be added to a trip or removed from the transport plan.
A different delivery address or delivery time
The delivery address, time window or requested delivery time changes. The planner assesses what this means for the stop sequence and other appointments within the trip.
A changed load
Products are added, replaced or redistributed across another shipment. The composition of the load can be adjusted without having to restart the entire trip administration.
A different driver, carrier or vehicle
When capacity or availability changes, a trip can be assigned to another driver, carrier or means of transport.
An additional or cancelled stop
A new stop is added or a planned loading or unloading location is removed. The planner can see which existing assignments are affected as a result.

Last-minute changes before departure
Many changes arise after the trip has already been planned but before the vehicle has departed. At this stage, planning and the warehouse need to remain closely aligned.
A change in volume may, for example, mean that the original trailer no longer has sufficient capacity. An additional stop may affect the loading sequence.
By linking the transport plan to warehouse information, it remains clear which goods need to be prepared and which trip they will depart on.
Changes during execution
The transport plan can also change after a driver has departed. A customer may change a time window, a location may temporarily be inaccessible or an additional instruction may need to be communicated.
The planner updates the relevant information and communicates the change via the Driver App. The driver receives the new instruction on their smartphone, while the planner retains visibility into the current trip status.
The driver can in turn register arrival and departure times. This status information becomes immediately visible in the Trip planboard, ensuring that planning and execution work with the same up-to-date information.
